QR Codes for Event Invitations: Send Guests to Registration and the Venue with One Scan

Use QR codes on invitations, posters and social media visuals to send guests to the registration page and the venue. Design, size and measurement tips.

A wedding, a launch, a workshop or a conference: however beautiful the invitation, the guest’s next step must be easy. A QR code makes that step easier by taking the invitee to the registration form, the location or the event schedule with one scan.

What should the QR code on an invitation be for?

  • RSVP or a registration form
  • A location and directions page
  • Schedule and speaker information
  • Extra links such as a gift list or donation page

Design and placement

  • Use at least 2 x 2 cm on a printed invitation and much larger on a poster.
  • High contrast: a dark pattern on a light background.
  • Leave blank space around it; do not let decoration or text run over the code.
  • Write a short call to action next to it, such as "Scan to RSVP".
  • Test with different phones before printing.

A code made from a short address is simpler and scans comfortably even in small prints. And when you create a separate short link for each invitation channel (printed invitation, WhatsApp, social media), you can see which channel brings attendance.

For digital invitations

In invitations sent by email or message, use a clickable short link instead of a QR code; people can already tap on their phones. Keep the QR code for printed materials and screen displays.

After the event

Do not let the page the link leads to stay empty once the event is over. Show a thank-you message, photos or the announcement of the next event.
